Job Title: Accounting Assistant
Department: Accounting
Immediate Supervisor: Controller
Positions Supervised: None
Purpose of the Job: The accounting assistant is responsible for deposits, some account payable functions, and assists the controller as needed.
Essential Job Responsibilities:
- Post daily deposits to appropriate general ledger accounts
- Prepare invoices
- Reconcile daily deposits
- Maintain daily log of online payments per department
- Record journal entries for non-sufficient funds
- Process expense reports and hotel invoices
- Assist senior accountant with credit card statements
- Follow up on outstanding checks and receivables
- Respond to questions regarding invoices in a timely manner
- Filing and moving accounting records to storage per retention schedule
- Assist in preparation of quarterly financial statements for State Bar and all affiliated entities
Non-Essential Job Responsibilities:
- Any other tasks as assigned
Accountability and Authority:
The accounting assistant reports to and is supervised by the controller. The accounting assistant is responsible for accurate and timely recording of financial records.
Desired Education, Experience, and Skills:
- Associate degree in accounting, preferred
- Accounts payable, receivable experience, two years preferred
- Experience with Sage 50 Accounting software preferred, but not required
- Proficiency in Microsoft Excel
Working Conditions:
- Position is non-exempt in accordance with the Fair Labor Standards Act
- Hours: 9:00 a.m. to 5:00 p.m. Monday-Friday, one hour lunch break
- This position may be eligible for a hybrid work schedule once training is complete.
- Overtime: rare
Hiring Range: $44,000 - $50,000
