Title: Events and Communications Coordinator

Purpose of Job: The events and communications coordinator will be responsible for the planning and execution of meetings and events of the North Carolina State Bar, assisting in the development and implementation of communications strategies on behalf of the North Carolina State Bar, and the maintenance of accurate rosters of affiliated boards, commissions, committees, district bar officers, and the State Bar Council.
Job Responsibilities:
Events Coordinator
- Schedule and plan meetings of the council, including making all arrangements for (and, where appropriate, negotiating the contract with the service provider) the following: meeting location, meals, receptions, speakers, audio-visual presentations, special events and activities, invitations, name tags, programs, banners, written materials, overnight accommodations, and hospitality suites.
- Coordinate committee meetings schedule for quarterly council meetings.
- Manage the registration process for meeting attendees.
- Assist the State Bar officers as requested with any logistics or planning related to State Bar meetings and events, including the logistics of the president’s swearing-in ceremony.
- Coordinate staff assignments during quarterly meetings.
- Prepare yearly calendar of events for State Bar officers.
- Plan State Bar meetings with district bars including coordinating with the district bar president; arranging a meeting place, refreshments, and lunch; making hotel reservations for officers and staff members; preparing name tags; compiling written materials; and registering attendees.
- Provide assistance to other staff members with the planning for meetings of affiliated boards and committees.
- Coordinate registration and travel arrangements to attend national bar meetings for the officers, executive director, assistant director, and such other persons as the executive director or president may designate.
Communications Coordinator
- In collaboration with the assistant executive director, develop and implement a communications plan on behalf of the State Bar.
- Assist in creation of communications content such as the annual report, quarterly newsletters, social media content, digital content, videos, and podcasts.
- Work with department leaders, officers, and the communications committee to capture stories and news items that highlight and bring awareness to State Bar activities.
Other Responsibilities
- Maintain record of councilors’ terms of office and a history of councilor elections by all judicial district bars.
- Notify judicial district bars of the timeframe and procedure for electing State Bar councilor(s), prepare and send notice of each election, and follow-up with appropriate correspondence.
- Assist the president with appointments to the committees of the State Bar council.
- Maintain history of councilor committee service and prepare nomination notebook for officer nominating committee of past-presidents.
- Maintain and update the Councilor’s Handbook.
- Maintain mailing list of councilors and spouses.
- Assist the legislative liaison with appointments to be made by the governor and the legislature.
- Create, order, and acquire awards, certificates, framed resolutions, and other similar items for outgoing officers, councilors, board members, and 50-year lawyers.
- Assist the executive director with the creation and maintenance of the minutes of State Bar Council meetings.
- Be trained to operate the State Bar’s audio/visual equipment when necessary.
- Other responsibilities as necessary to advance the mission of the North Carolina State Bar.
Desired education, experience and skills:
- High school diploma.
- Meeting and event planning experience.
- Strong organizational and communication skills, emphasizing attention to detail.
- Experience with communications activities, including social media and digital media.
- Administrative skills and experience, including knowledge of Microsoft Office products and events management programs.
- Ability to engage with and relate well to others.
- Ability to work independently and as a member of a team.
- Ability to meet deadlines reliably and enjoy working on multiple projects simultaneously.
Working Conditions:
- Position is exempt in accordance with the Fair Labor Standards Act
- Hours: 35-hour week; generally 9:00 a.m. to 5:00 p.m., Monday - Friday, one hour lunch break
- Travel: travel to meetings, including overnight, as necessary
- Some remote work is possible in consultation with supervisor
