Job Title: Administrative Assistant -  Trust Account Compliance Department

Department: Office of Counsel

Immediate Supervisor: Director of Trust Account Compliance Department

Positions Supervised: None

Purpose of the Job: To provide administrative support to the Trust Account Compliance Department, which monitors and assists lawyers’ compliance with trust account management requirements.

Essential Job Responsibilities:

  • Process incoming mail and email, enter into tracking spreadsheet
  • Respond to written and electronic communications
  • Direct callers to appropriate staff
  • Set up participant files and maintain spreadsheets tracking participation
  • Prepare correspondence, including program contracts and agreements
  • Assist with scheduling random audits
  • Prepare packets for random audits
  • Assist director, field auditor, and compliance specialist when needed
  • Assist in generating reports when needed
  • Filing/scanning

Non-Essential Job Responsibilities:

  • Serve as back up to other departmental employees
  • Serve as a back up to reception
  • Perform any other tasks assigned

Accountability and Authority:

The Administrative Assistant reports to and is directly supervised by the director of TACD.

Desired Education, Experience, and Skills:

  • High school diploma, minimum
  • Two years experience in an office setting, preferred
  • Proficient in Microsoft Office applications and ability to learn other applications including database management systems
  • Experience performing mail merges
  • Excellent communication and problem-solving skills
  • Excellent organizational skills and attention to detail

Working Conditions:

  • Position is non-exempt in accordance with the Fair Labor Standards Act
  • Hours: 9:00 a.m. to 5:00 p.m., Monday - Friday, one-hour lunch break
  • This position may be eligible for a hybrid work schedule once training is completed
  • Overtime: Occasional, paid, or compensatory
  • Travel: Rare

Hiring Range: $32,000 - $38,000
