Job Title: Administrative Assistant - ACAP
Department: Office of Counsel
Immediate Supervisor: Director of Attorney-Client Assistance Program (ACAP)
Positions Supervised: None
Purpose of the Job: To provide administrative support to ACAP Department
Essential Job Responsibilities:
- Open, process, track, and forward responses, and maintain fee dispute files, ensuring appropriate documentation is forwarded to facilitators
- Prepare labels and mail grievance and fee dispute complaint form packets
- Respond to written and electronic communications and direct callers to the appropriate staff members
- Work closely with Intake and Fee Dispute staff to process and track referrals
- Provide information to callers about State Bar programs, including relevant forms and brochures
- Assist in opening and processing incoming mail, including date-stamping, entering into the tracking database, and distributing appropriately
- Provide backup support to other members of the ACAP Department
- Assist with generating reports as needed
- Perform filing and scanning duties
Non-Essential Job Responsibilities:
- Serve as back up to perform duties of other employees when needed to include reception
- Perform any other task assigned
Desired Education, Experience, and Skills:
- Minimum of a high school diploma, with prior experience in legal field preferred
- Familiarity with legal terminology and court system preferred
- Excellent oral and written communication skills required
- Proficient in Microsoft Office applications (Word, Excel, Outlook, etc.) and the ability to learn content management software systems
- Spanish fluency preferred but not required
Working Conditions:
- Position is non-exempt in accordance with the Fair Labor Standards Act
- Hours: 9:00 a.m. to 5:00 p.m., Monday - Friday, one-hour lunch break
- This position may be eligible for a hybrid work schedule once training is completed

Expected Hiring Range: $32,800 - $36,490
